What's in the Agency Operations Pack
The Agency Operations Pack adds three features to the Agency plan: Budget Guardian (real-time project budget tracking), Project Alerts (automated notifications for deadline risk, bottlenecks, and budget warnings), and Smart Templates (save any project structure as a reusable template with date remapping and role-based assignees). All three features address the same underlying problem: the gap between the agency's project management system and the financial and operational reality of delivering client work.

Budget Guardian
Budget Guardian tracks project spend in real time, every time a team member stops a timer, the project's budget gauge updates. The dashboard shows budget, spent, remaining, and margin for every active project. A burn chart shows how spend has accumulated over the project timeline. Alerts fire when spend crosses a configurable threshold. Default: 80% of budget consumed. The PM receives a notification via email, in-app, and Slack when the alert fires.
Project Alerts
Project Alerts is a configurable alert system that monitors all active projects for six risk conditions:
- Bottleneck: task stuck in same status for 5 days → notifies project admins
- Deadline Risk: task 2 days from deadline, incomplete → notifies task assignee
- Budget Warning: spend crosses 80% of budget → notifies project admins via all channels (Slack, email, in-app)
- Overdue Escalation: task 3+ days past deadline → notifies project admins
- Idle Project: no activity for 7 days → notifies project owner
- Morning Digest: daily summary of top 5 priorities → notifies each PM individually

Smart Templates
Smart Templates let any project be saved as a reusable template. The template stores the column structure, task list, assignee roles (not names, roles), and deadline offsets (days from project start or launch date). When a new project is launched from a template, the PM sets the launch date and maps roles to team members. All deadlines are calculated automatically. Project setup that previously took 40–60 minutes takes under 10.
