01. How to use these checklists

Each checklist below covers the first two weeks for one role. The checklists are designed to be used as task lists inside your project management tool, not as PDFs sent by email. For each new hire: create a new project from the onboarding template for their role, assign the tasks to the hiring manager and the new hire as appropriate, and track completion in the workspace. This makes onboarding progress visible to the whole team and prevents tasks from falling through the cracks when the hiring manager is busy.

02. What every role has in common: the universal onboarding layer

Before the role-specific checklist begins, every new hire needs four things regardless of role:

  • Workspace access confirmed, all tools provisioned, accounts created, permissions set
  • Introduction to team, async introduction message sent, synchronous introduction call scheduled within Week 1
  • Communication norms documented, when to use Slack vs email vs PM tool, expected response times, meeting norms
  • Buddy assigned, one existing team member designated as the first point of contact for questions in Weeks 1–4

03. Designer onboarding checklist (12 steps)

Week 1 and 2 checklist for a new designer joining a remote agency:

  • Access: Figma team workspace, Notion/docs, project management tool, Slack channels
  • Brand asset handoff: logo files, color tokens, type system, component library
  • Review 3 completed projects: understand design quality bar and client communication style
  • Meet with lead designer: 45-min call covering design process, feedback norms, file naming
  • Shadow one client feedback session (observe only, Week 1)
  • Complete first solo design task (low-stakes, internal or small client)
  • Understand revision process: how many rounds, how feedback is collected and consolidated
  • Learn export and handoff workflow: file formats, naming conventions, delivery checklist
  • Review brand guidelines for 2 active clients

04. Developer onboarding checklist (10 steps)

Week 1 and 2 checklist for a new developer joining a remote agency:

  • Access: GitHub/GitLab organization, staging environments, deployment credentials, PM tool
  • Dev environment setup: documented setup guide, confirmed working local environment
  • Code standards review: linting config, commit message format, branch naming, PR review process
  • Review 2 recent completed projects: codebase tour with lead developer, architecture decisions explained
  • First task: a small bug fix or documentation update to understand the workflow end-to-end

05. PM onboarding checklist (11 steps)

Week 1 and 2 checklist for a new project manager joining a remote agency:

  • Access: PM tool (admin permissions), client communication channels, invoicing system, document storage
  • Active project handoff: read all briefs, review current status, introduce yourself to clients
  • PM methodology review: how the agency structures projects, what templates exist, status reporting cadence
  • Client communication standards: tone, update frequency, escalation path
  • Shadow existing PM on client call (Week 1)

  • Introduction calls with all active clients: scheduled within Week 1, conducted by end of Week 2
  • Proposal and pricing process: how proposals are built, what the approval process is, discount authority
  • Upsell and renewal process: how to identify expansion opportunities, how renewals are handled
  • Internal handoff process: what AMs hand to PMs when a project is sold, what documentation is required
  • Reporting cadence: what clients receive and when (monthly reports, QBRs, ad-hoc updates)
  • CRM hygiene: how to log calls, update client health scores, document next actions
  • First performance check-in with hiring manager: end of Week 2

07. Remote-specific additions for all roles

These items apply to all roles but are frequently omitted in remote onboarding because they are assumed to be obvious. They are not obvious to someone new to remote work or new to this team:

  • Camera and audio setup: confirm video call quality before first external call
  • Async communication norms: documented expected response times by channel and urgency level
  • Meeting-free focus blocks: when are they, how are they communicated, how to reschedule around them
  • How to signal unavailability: Slack status conventions, calendar blocking norms
