Most remote teams manage time zones through a combination of memory, spreadsheets, and repeated Slack messages asking 'what time is it for you right now?' This works, badly. The timezone coordination tax is the cumulative time spent each week on timezone-related friction: figuring out when a meeting can happen, checking whether a task assignment is reasonable given someone's current time, confirming whether a team member is online before sending an urgent message. For a 10-person team distributed across 4 time zones, this friction adds up to 30–60 minutes per person per week. Setting up timezones for each team member

Timezone setup is done once per team member:

  • Go to the Employees page in Melororium
  • Open the employee card
  • Navigate to the Timezone field
  • Select the correct timezone in IANA format (e.g., Europe/Kyiv, America/New_York)
  • Optionally set working hours (default is 09:00–18
  • Save, the timezone is now used throughout the platform

Reading the overlap window

The overlap window is the time range where all team members' working hours intersect. Remote Team Scheduler calculates this automatically based on the timezones and working hours set in each employee profile. The overlap window is displayed on the team dashboard and in the meeting scheduler. For teams with no overlap (distributed across incompatible time zones), the dashboard shows this explicitly, along with the closest available window if working hours are adjusted by one hour on either end.

Smart scheduling suggestions

When creating a meeting or assigning a deadline, the scheduler suggests the three best time slots based on the overlap window, the slots where the most team members are within their working hours, weighted by seniority and meeting necessity. For meetings that cannot fit within the overlap window, the scheduler identifies the slot that minimizes the total inconvenience, the time where the fewest people are outside their working hours, and where the outside-hours time is least severe (8am is better than 5am).

Real example: 4 time zones, 8 people

Example team: 2 people in Kyiv, 2 in Tirana, 2 in Lisbon, 2 in New York.

  • Kyiv (UTC+3): working hours 09
  • Tirana (UTC+2): working hours 09
  • Lisbon (UTC+1): working hours 09
  • New York (UTC-4): working hours 09
Note: Overlap window: 13:00–15:00 UTC (2 hours). In local time: 16:00–18:00 Kyiv, 15:00–17:00 Tirana, 14:00–16:00 Lisbon, 09:00–11:00 New York. Meetings should be scheduled in this 2-hour window. The New York team has the most favorable local time (morning).

Using timezone data in task assignment

Timezone data is useful beyond meeting scheduling. When assigning a task with a same-day deadline, the system shows whether the assigned team member's working day has already ended. When setting a task as 'urgent,' the notification respects the assignee's working hours, urgent notifications outside working hours can be delayed to the start of the next working day. This removes a common remote team friction point: the task assigned at 5pm ET that the Kyiv team member receives at midnight, creating unnecessary anxiety about an expected immediate response.
