Campaign Planning Templates for Marketing and Creative Teams

A campaign has a brief, a creative brief, a media plan, a content calendar, a production tracker, and a results dashboard, and in most marketing teams, each of these lives in a separate spreadsheet. The coordination cost of keeping five documents aligned can exceed the production cost of the campaign itself.

01. The Multi-Spreadsheet Problem in Campaign Management

Campaign work generates coordination overhead in proportion to the number of channels and stakeholders involved. A single-channel email campaign managed by one person can live in a checklist. A multi-channel campaign with social, email, paid, and content workstreams, managed by a team of four across eight weeks, cannot. The multi-spreadsheet approach emerges naturally: one person owns the content calendar, another owns the media plan, a third owns the creative production tracker. Each document is accurate from the perspective of its owner and outdated from the perspective of everyone else. A deadline change in the media plan ripples into the content calendar and the production tracker, but only if someone updates all three documents manually, and only if the update happens before someone acts on stale information. Melororium has no dedicated campaign management module. What it has is a set of general-purpose project management tools, and two templates that apply those tools to campaign work in a way that replaces the multi-spreadsheet system.

"Each document is accurate from the perspective of its owner and outdated from the perspective of everyone else."

02. What a Campaign Planning Template Solves

A campaign planning template consolidates three functions that the spreadsheet system handles in isolation:

  • Task ownership: who is responsible for each deliverable, visible at the board level without opening individual documents
  • Deadline tracking: due dates visible on tasks, with calendar view for deadline-density overview
  • Channel attribution: which tasks belong to which channel, filterable within the board
Note: None of these functions require a purpose-built campaign management tool. They require a task board with the right columns, tags, and views, which is what the templates provide.

03. The Campaign Planning Template: Structure and Use

The Campaign Planning Template is the primary starting point for campaign work in Melororium. Its description: "Plan every campaign from brief to launch: tasks, deadlines, and owners." Column structure: Brief to Strategy to Production to Review to Scheduled to Live to Done. The Brief and Strategy columns hold pre-production work separately from production tasks, which prevents the common failure of starting production before strategy is settled. The Scheduled column holds content that's ready but not yet published, distinguishing it from Done prevents premature closure of in-flight work. The template is designed around a campaign lifecycle that starts before the first deliverable is produced and ends after the last piece is published. This makes it useful for the full campaign arc, not only the production phase that most task tools focus on.

04. Companion Resource: Marketing Team Project Plan Template

The Marketing Team Project Plan template serves a related but different purpose. Where the Campaign Planning Template is organized around the campaign lifecycle (Brief to Strategy to Production to Launch), the Marketing Team Project Plan is organized around ongoing team operations, the recurring work that happens between campaigns as well as during them. Teams that run both ongoing content programs and discrete campaigns often use both templates: the Campaign Planning Template for each specific campaign, the Marketing Team Project Plan for the team's overall work queue that includes both campaign and non-campaign tasks.

05. Tracking by Channel Within One Board

Channel attribution is the most important feature for multi-channel campaign management. Without it, a board with 40 tasks across social, email, paid, and content looks like an undifferentiated list. With channel tags, the same board becomes filterable: show only social tasks, show only email tasks. The Marketing Team Project Plan template includes channel tags: Social, Email, Paid, Content, Events, PR. The Campaign Planning Template inherits the same tag system. Filtering by channel tag within the board view gives each channel owner their work queue without hiding the other channels' context. The practical workflow: the campaign manager sees the full board. The social media manager filters to Social. The email developer filters to Email. Each team member works from their filtered view while the campaign manager maintains visibility across all channels from the unfiltered view.

06. Using the Calendar View for Deadline-Based Planning

The Kanban view shows task state. The calendar view shows task timing. For campaign work where publish dates and channel deadlines are fixed, the calendar view often serves planning decisions better than the board view. A campaign calendar view shows: which tasks are due on which days, deadline clusters that indicate production crunches, and gaps in the publishing schedule. A week with 12 tasks due on Thursday and nothing due Monday through Wednesday is a scheduling problem visible at a glance in the calendar view, and invisible in a Kanban board. The Melororium Marketing Team Project Plan and Campaign Planning templates both support calendar view without any additional configuration. Switch to calendar view from the board header.

07. Time Tracking per Campaign Channel

Time tracking per channel answers a question that most marketing teams can't currently answer: how many hours did the team spend on paid media versus content versus social for this campaign? This number matters for two reasons: it informs how to price the next similar campaign, and it shows which channels are consuming more production resources than their results justify. In Melororium, tasks in both campaign templates are pre-configured for time tracking. Log time against individual tasks; the Work Report filters by tag, which means filtering by channel tag gives a channel-level hour summary. A Work Report filtered to the Social tag for Campaign X shows total hours logged to social tasks on that campaign. This isn't a purpose-built analytics feature. It's a byproduct of tagging consistently and logging time consistently, two habits that pay dividends across all project types, not only campaigns.

08. Frequently Asked Questions

How do you track a marketing campaign across multiple channels in one tool? Use channel tags (Social, Email, Paid, Content, Events) on every task, and filter the board by tag to see each channel's task queue. The full board shows the complete campaign. The filtered view shows one channel at a time. Both views share the same underlying tasks, so there are no separate documents to keep in sync. Deadline visibility across channels comes from the calendar view, which shows all tasks by date regardless of channel tag. Can you track time per campaign channel? Yes, by logging time against tasks tagged with the relevant channel. In Melororium, the Work Report filters by tag, so filtering to the Social tag for a specific campaign period gives total hours logged to social tasks in that period. This isn't a dedicated analytics feature; it's a byproduct of tagging and time tracking consistently. The channel hour breakdown becomes available as a report artifact after the campaign closes, useful for pricing future similar campaigns.
