What is a client progress report?

A client progress report is a project update delivered to the client that answers three questions: what was completed since the last update, where the project stands right now, and what comes next. It replaces the "how's it going?" call that every client makes when they're unsure of progress — a call that takes 30 minutes and contains information the PM could have sent in a 2-minute email.

Melororium's Client Progress Report generates from live project data. Tasks completed in the period, hours logged, milestones hit, and upcoming deliverables pull automatically from the project board and time tracker. The PM adds 2–3 sentences of commentary. Export as PDF. The report is ready in 60 seconds and suitable for direct client delivery.

Why clients send "how's it going?" emails

Clients send status inquiry emails for one reason: they don't know what's happening with their project. This uncertainty is almost never caused by work not being done — it's caused by work being done without the client seeing it. The agency is building the website, producing the content, or running the analysis. The client is sitting in their office with no visibility, writing an email to ask.

A weekly or bi-weekly progress report prevents this email. When a client knows they'll receive a progress update on Friday, they wait for Friday's report instead of sending Tuesday's email. The relationship improves not because the work is better — but because the client isn't anxious about what they can't see.

How agencies send client progress reports efficiently

Data pulled automatically, commentary added manually

The tasks completed, hours logged, and milestones hit sections of the report are populated automatically from the project data. The PM doesn't compile anything — they review the pulled data and add a 2-sentence update on the current status and a 2-sentence preview of next steps. The template structure ensures consistent quality across all client reports without requiring the PM to write from scratch.

Milestone status: hit / upcoming / at risk

The milestones section of the report shows each project milestone with a status: hit on time, upcoming (scheduled date), or at risk (scheduled date has passed or the prerequisites aren't complete). A milestone marked "at risk" in a client progress report is a professional, proactive disclosure — not a surprise phone call on the day the deadline was missed.

Hours logged per phase for transparency

For retainer clients, the progress report includes hours logged in the period by task or phase. This transparency — "we spent 12 hours on content production, 6 hours on client revisions, and 4 hours on reporting this week" — reduces billing disputes and builds trust. Clients who can see where their hours went don't question whether they're getting value.

Client Portal for real-time progress visibility

The Client Portal add-on ($69 add-on) gives clients a live view of their project board — tasks completed, current status, upcoming work — without needing to receive a periodic report. For clients who prefer real-time access over weekly PDFs, this replaces the progress report entirely.

Client progress report vs. weekly status meetings

Weekly status meetings are useful for decisions. They're expensive for status reporting. A 30-minute meeting with 5 participants to share status information that could be conveyed in a 2-minute PDF costs 2.5 hours of combined team time per meeting — 130 hours per year per client. A weekly progress report replaces the status portion and preserves the meeting time for decisions.

The Client Portal add-on ($69 add-on) gives the client their own login — they see project status, task progress, and files without waiting for a report.

Yes. Filter by date range, task type, and assignee. The exported PDF shows only what you select.

For most updates, yes. Send the PDF report before the meeting — the client comes prepared, the meeting focuses on decisions, not status.

Weekly for active projects, bi-weekly for longer ones. Most agencies find monthly reports aren't frequent enough to catch problems early.
