What is a department performance dashboard?

A department performance dashboard is a real-time view of a team's key metrics — tasks completed, hours logged, capacity utilization, deadlines hit vs. missed, and active projects — that updates automatically as the team works. It gives department heads the overview they need to manage effectively without interrupting the team for status updates.

Melororium's Department Performance Dashboard connects the Dashboard module to live data from Work Reports, Time Tracker, and the Kanban boards. The configured view shows: team hours this week, capacity percentage (hours logged vs. contracted hours), task completion rate this week, active projects with their current status, and any overdue tasks across the department. The dashboard is live and requires no manual updates.

Why department heads interrupt their teams too much

The most common reason a manager sends a "quick status check" Slack message is that they don't have current information about what's happening. The team is heads-down working. The manager's last visibility into the week's progress was Monday's standup. By Thursday afternoon, with two client deliverables due Friday, the manager sends four "just checking in" messages to four different team members — each interruption costing 5–15 minutes of focus time.

A department dashboard eliminates the information gap that generates these interruptions. When the manager can see in 15 seconds that capacity is at 85%, the sprint board has 6 tasks in progress and 2 overdue, and hours are on track for the week — there's nothing to interrupt the team about. Questions are reserved for decisions that actually require conversation.

What the department dashboard shows in real time

Capacity utilization for the current week

The dashboard shows current week hours logged vs. contracted hours for each team member, aggregated to a department-level capacity percentage. At 78% capacity on Thursday morning, the week is healthy. At 95% capacity on Tuesday, the department is heading toward overtime and the manager knows to check the task queue.

Tasks completed and overdue — live status

The dashboard shows: tasks completed this week, tasks in progress, tasks overdue. The overdue number is the one that requires immediate attention — an overdue task is a missed deadline in progress. Clicking through shows which tasks are overdue, which project they belong to, and who owns them.

Active projects with RAG status

Each active project in the department shows a RAG status (Green / Amber / Red) based on the most recent project status report. Department heads who run multiple teams can see all active projects on one screen — no project-level dashboard review needed for the daily check.

Exportable weekly snapshot for leadership

The department dashboard can be exported as a PDF snapshot at any point in the week. For department heads who report to leadership in weekly meetings, the export takes 30 seconds — no manual data assembly before the meeting.

Department dashboard vs. status meetings

A department that runs a 30-minute weekly status meeting with 8 team members spends 4 person-hours per week on status sharing. A department that uses a live dashboard replaces most of that status sharing with a 5-minute dashboard review by the manager. The 30-minute meeting shifts to decisions, blockers, and planning — where human presence adds actual value.
