What is a project budget tracker?
A project budget tracker monitors the financial health of a project in real time — comparing the budgeted amount at project start against actual costs as they accumulate (hours × team member rates + logged expenses). It gives project managers a live view of budget burn and alerts before the project runs out of money.
Melororium's Project Budget Tracker sets a total budget per project at kickoff. As team members log time on tasks, their hours multiply by their hourly rate to produce a real-time cost figure. Expenses logged via the Expense Report Template add to that cost. When the project reaches 80% of budget, an alert fires — leaving 20% of the budget to finish the project or have a scope conversation.
Why fixed-price projects silently lose money
For agencies billing fixed-price project contracts, budget overrun is the most common cause of margin erosion. It happens gradually: a task that was estimated at 4 hours takes 6. Another estimated at 8 hours takes 11. None of these individual overruns is dramatic. But across 25 tasks in a project, a consistent 20–30% overrun on estimates turns a profitable project into a break-even or loss.
The problem is that budget consumption isn't visible in most project management tools. Tasks are tracked by completion, not by cost. By the time the PM notices something is wrong, the project is at 120% of budget and the client relationship is past the point where a scope conversation is comfortable.
How project managers protect margins with real-time tracking
Budget set in money, not just hours
Most project management tools track estimated hours. A budget tracker in Melororium tracks actual cost — hours × rate — which is the number that matters for profitability. A project with a $10,000 budget and a $8,000 total billed cost is on track. The same project with 80 hours estimated at $125/hour is only meaningful if the team's actual rate matches the estimate.
80% alert as a decision point, not a crisis
At 80% of budget consumed, the alert fires — not at 100%, when options are limited. With 20% remaining, the PM has choices: accelerate the remaining work, have a scope conversation with the client about overages, or absorb the remaining overrun knowingly. At 100%, the only option is damage control.
Expense costs included in budget burn
Project budgets often cover more than labor. Third-party software, printing, travel, subcontractors — these are real project costs. The budget tracker includes expense line items alongside time costs. The client sees a complete project cost picture; the PM has an accurate margin calculation.
Multi-project view for portfolio managers
Agency directors managing 10+ active projects can see all project budgets at once: which are on track (green), which are at risk (amber), which have exceeded budget (red). This view takes 30 seconds to scan and identifies projects that need intervention — no individual status meetings required.
Project budget tracker vs. no tracking
Most agencies operating fixed-price projects without a budget tracker discover budget overruns at invoice time — when the project is complete and the hours are already logged. At that point, the only options are to absorb the loss or have an awkward client conversation about charges that weren't in the original agreement.
Melororium's budget tracker catches overruns while there's still time to act. Agency plan for 10 users is $59/mo. Time tracking, expense logging, and budget monitoring all included.
