What is a billable hours tracker?

A billable hours tracker records exactly how much time your team spends on client work — per task, per project, and per team member. Unlike a generic timesheet, it separates billable time (work charged to the client) from internal time (meetings, admin, unbilled revisions), so your invoices reflect what was actually delivered.

Melororium's Billable Hours Tracker puts the timer directly inside each task — the same place the brief, files, and comments live. One click to start, one to stop. Hours accumulate automatically against the right client and project without anyone filling in a spreadsheet from memory at the end of the day.

Why agencies lose billable hours without a tracker

Most agencies undercharge not because they work less, but because they fail to capture the work they do. A designer finishes three rounds of client revisions but only bills for one because there's no written record. A developer closes their editor, opens a separate timer app, tries to remember the project name, and logs an estimate. That friction is why hours disappear.

Research consistently puts untracked billable time at 15–30% of total work done. For a 10-person agency billing at $100/hour with an 8-hour day, that's $12,000–$24,000 in unbilled revenue every month. The problem isn't discipline. The problem is that the timer lives in a different app from the work.

When the timer is inside the task — not in a separate tab — you capture time by doing your work. That's the design principle behind this template.

How professional services teams track billable hours

Tag every task as billable or internal before work starts

The most common billing mistake is forgetting to classify time. If you tag each task as Billable or Internal when you create it, the work report separates client-facing hours from overhead automatically. Your utilization rate stays accurate, and invoices only include what the client agreed to pay for.

Set hourly rates at the client level, not the person level

Different clients have different rates. A retainer client at $80/hour and a project client at $120/hour both involve the same team members. Setting rates on the client CRM card — not per employee — means invoices calculate correctly regardless of who worked on what phase.

Review hours weekly, not at invoice time

A 15-minute Friday review of the work report by client is far easier than auditing three weeks of contested hours when a client pushes back on an invoice. Weekly reviews catch gaps in real time — a task logged to the wrong project, an internal meeting accidentally tagged as billable — before they become disputes.

Distinguish project hours from retainer hours

Retainer clients pay for a fixed number of hours per month. Project clients pay for delivered work. These need separate views. The Billable Hours Tracker shows both: retainer clients with hours-used versus hours-contracted, and project clients with total logged hours ready for invoicing.

What's included in the Billable Hours Tracker template

The template comes pre-configured inside Melororium with everything connected:

  • **Live timers on every task** — start, pause, and stop directly from the task card
  • **Billable vs. internal tag** — classify each task at creation, filter in reports
  • **Client-level rate setting** — set hourly rate per client in the CRM, auto-applied to invoices
  • **Work report by client** — filter logged hours by client, date range, or team member
  • **One-click invoice generation** — select a client's hours, set the rate, export a PDF invoice
  • **Retainer balance view** — see hours used versus hours contracted per month per client

All of this lives in one workspace. No integration, no data transfer, no manual CSV export.

Billable Hours Tracker vs. Toggl Track and Harvest

Toggl Track costs $10/user/month — $1,200/year for a 10-person team. Harvest costs $12/user/month — $1,440/year. Both are time tracking-only tools. They record hours, but they don't manage projects, store client CRM data, or generate invoices. Your team still needs separate tools for those — each adding another $10–$20/user/month on top.

Melororium replaces the entire stack. The Billable Hours Tracker connects time logging directly to client CRM cards and PDF invoice generation in the same workspace. The Agency plan covers 10 users for $59/mo.

After year one you've saved over $900 versus Toggl alone — not counting the project management and invoicing tools you no longer need. After five years the saving exceeds $5,700 against Toggl plus a basic invoicing tool.

No seat tax. No per-user billing. No per-seat surprise when your team grows from 8 to 12 people mid-project.
