What is a client status update workflow?

A client status update workflow is a structured process for keeping clients informed about project progress without requiring constant email updates or granting access to internal tools.

Most agencies handle client updates one of three ways: weekly status emails (time-consuming), adding clients to the project board (shows too much), or scheduled calls (expensive). A dedicated status page is a fourth option: a public link the client opens any time, no login required, that shows exactly what you choose to share.

What clients see on the status page

The public status page at /s/[token] shows:

  • **Project name and workspace** — so the client knows which project they're looking at
  • **Progress percentage** — calculated automatically from completed vs. total tasks
  • **Task list** — each task with its current status (Done, In Progress, Pending) and deadline
  • **Built-in chat** — the client enters their name (saved in their browser) and sends messages directly to your team

The chat updates in real time. Your team replies from inside the CRM. The client sees responses without refreshing.

What clients don't see

Clients on the status page see only what you share. They can't access your internal notes, comments, file attachments, time logs, or other projects. They can't add or modify tasks. This keeps your workspace private while giving clients the visibility they need.

The workflow

**Step 1: Enable the status page.** In any project, go to Settings → Public Status Page → Enable. A unique /s/[token] link generates.

**Step 2: Share with the client.** Send the link via email or messaging. No account required.

**Step 3: Update happens automatically.** As your team moves tasks through the board, the client's view updates. The percentage changes. Done tasks appear checked.

**Step 4: Client questions come through chat.** Instead of an email that gets lost, the client types in the chat. Your team sees it in the CRM notification feed. The conversation stays attached to the project.

Status page vs. sharing workspace access

The Public Status Page is read-only with live chat access. The alternative is adding clients as team members with limited permissions. That gives them more interaction but also more complexity: onboarding them to the workspace, explaining the interface, and managing what they can see.

For most agencies, the status page covers 90% of what clients actually want: to know what's happening without having to ask.
