What is a team capacity planner?

A team capacity planner maps available working time per team member against committed project hours — for the current week and the weeks ahead. It answers the question managers and agency owners ask constantly: "Do we have the bandwidth to take on this project?"

Without a capacity view, most teams answer that question by gut feel. The account director says yes because everyone looks busy. The project manager says yes because they don't want to turn down revenue. Three weeks in, two projects are behind because the team never had the capacity to run both on schedule.

How capacity planning works in Melororium

Melororium builds a capacity view from three data sources that are already in the platform: approved leave (from the Team module), current task assignments (from Kanban and Projects), and logged hours versus estimates (from Time Tracker and Work Reports).

The result: a per-person, per-week view showing committed hours versus available hours. A designer with 32 hours committed across current projects in a 40-hour week has 8 hours of available capacity. A developer with 47 hours committed is at 117% — a red flag for quality and deadline risk.

What this template includes

The Team Capacity Planner template configures the capacity view with default contracted hours per role (adjustable per team member), leave integration, and project hour commitments. View by week or by month. Filter by team or individual.

Capacity planner vs. resource management software

Dedicated resource management tools (Float, Resource Guru) charge $6-10/user/month — $720-1,200/year for a 10-person team. They're standalone products that require manual sync with your actual project data. Melororium's capacity view is built from your live project and time tracking data — no manual input, no sync lag. Included in the flat-fee workspace at $59/mo for 10 users.
