Employee Productivity Report Template for Agency Managers
An employee productivity report answers the question every agency manager asks but rarely has clean data to answer: is each team member working at a sustainable pace and producing at the expected rate? The question matters for two reasons. Overutilized team members produce worse work and eventually leave. Underutilized team members are either blocked, disengaged, or doing invisible work that should be captured in the time tracker.
This template generates a weekly or monthly report per team member showing hours logged, tasks completed, billable versus non-billable split, and work session patterns.
What This Report Actually Measures
The report covers four metrics per person. Hours logged per period shows whether actual working hours match contracted hours and reveals overtime patterns before they become retention problems. Tasks completed with a previous-period comparison shows trajectory, not just a point-in-time snapshot. Billable split shows what percentage of each person's time is client-billable, which directly affects project margin calculations. Work session timeline shows start times, end times, and break patterns across the reporting period.
This is operational data, not performance surveillance. The goal is to catch structural problems (wrong task distribution, unclear priorities, unrealistic scopes) before they damage team health or client relationships.
Anomaly Detection
The template includes anomaly flags that surface automatically: team members working more than 20% over contracted hours for two or more consecutive weeks, billable split falling below the team's target threshold, and task completion rate declining over three periods. Each flag prompts a management conversation, not a warning.
Using Report Data in 1-1s
The most effective use of this template is as a shared document in weekly or biweekly 1-1 conversations. When both manager and team member can see the same data, conversations about workload become concrete rather than subjective. "Your hours were 52 this week against your 40-hour contract" starts a different conversation than "you seem tired lately."
Melororium generates this report automatically from time tracking data. The Work Reports module exports to PDF or Excel. Available on all plans starting at $29/month flat.
