Budget Guardian tracks a project's labor cost against its budget in real time, with a burn chart and alerts before spend gets out of control.
Budget Guardian is a project-level budget monitoring module that calculates labor cost in real time from time logs and employee hourly rates. It shows total budget, total spent, profit margin, remaining balance, and a projected end-of-month cost, all updated automatically as the team logs time.
Most project budget tracking happens in spreadsheets that someone updates once a week. By the time the spreadsheet shows a project is over budget, it is too late to do anything about it. Budget Guardian moves that signal to the moment it matters, while there is still time to act.
How Budget Guardian Calculates Cost
Budget Guardian does not require manual expense entries. It reads the labor cost from time logs: every time a team member logs hours against a project task, the cost of those hours (hours × hourly rate) adds to the project's spent total automatically.
The hourly rate comes from the employee record, set once by an admin. When rates change, update the employee record and all future logs use the new rate. This means budget data is always current and always consistent with what the team actually logged.
Burn Chart and Daily Progress
The burn chart plots cumulative labor cost by day for the current month. The line rises as hours are logged. A threshold line shows the budget ceiling.
If the line crosses the budget, it turns red and renders as an overage. If the trajectory is heading toward the budget before month-end, the projected cost widget shows where the project will finish at the current pace.

- Profit margin: (budget − spent) ÷ budget as a percentage
- Remaining: budget minus spent in currency
- Projected cost: end-of-month estimate at the current burn rate
Budget Alerts
Budget Guardian fires an alert when the project reaches a configurable cost threshold. The default is 80%. When the project hits 80% of its budget, an alert fires in-app, to the workspace Slack channel, and to the project manager's email.
A second alert fires at 100%: when the project has spent its full budget. Both thresholds are configurable per project through the Project Alerts tab.
Alerts fire at most once per 24 hours for the same threshold. A project that stays above 80% does not generate a new alert every hour.
Budget Guardian in Melororium
Budget Guardian appears as a dedicated tab inside each project. The project must have a budget set (the Revenue field in project settings). The Budget tab shows the burn chart and all KPI metrics in one view.
