What is a consulting project template?
A consulting project template is a structured workspace for managing client engagements from discovery through delivery — with deliverables organized by phase, hours tracked against milestones, and invoices generated when each phase closes. It replaces the combination of a Word document SOW, a spreadsheet for hour tracking, and an email-based invoice that most consulting teams use when they're managing multiple engagements simultaneously.
Melororium's Consulting Project Template organizes each engagement into five phases: Discovery → Analysis → Recommendations → Implementation → Handoff. Each phase has a deliverable checklist, assigned team members, timers, and a milestone invoice trigger when the phase closes. The client CRM card holds the contract value, payment history, and meeting notes.
Why consulting engagements run over budget and over scope
The most expensive failure in consulting is undocumented scope expansion. A client asks for "one more analysis" during the Recommendations phase. It takes 6 hours. It's not logged as additional scope. The invoice at the end of the engagement doesn't include those 6 hours because the consultant "didn't want to create friction."
Multiply that across 10 client engagements running simultaneously, and a 5-person consulting firm can lose $15,000–$30,000 per quarter in unlogged scope additions. The problem isn't that clients request extras — it's that there's no system that makes scope additions visible and billable in real time.
How consulting teams track engagements and protect margins
Phase-based milestones with client sign-off gates
Each phase ends with a formal client sign-off task. The deliverable for the Discovery phase — the diagnostic report, the data audit, the gap analysis — doesn't proceed to Analysis until the client has formally approved it. This is tracked in the system, not assumed from a Slack message. When a client disputes the scope of the Recommendations phase three months later, the signed-off milestone is on record.
Hours tracked per phase, not per month
Timers run on individual tasks within each phase. At the end of the engagement, the work report shows hours per phase: Discovery took 18 hours, Analysis took 32 hours, Recommendations took 24 hours, Implementation took 67 hours. That breakdown is worth its weight in future engagements — it's the data that makes the next SOW accurate, not a guess.
Milestone billing: close a phase, generate an invoice
When the Discovery phase closes, generate the Discovery invoice directly from the logged hours. Apply the agreed rate. Export as PDF. The client pays for each phase as it delivers value — not a lump sum at engagement end when budget conversations are more difficult.
Multiple engagements, zero context loss
Each client engagement is a separate project. The CRM card holds all client context: contact, contract terms, payment history, and engagement notes. When a team member joins a project mid-engagement, they have full context from the card — not from asking the account lead.
Consulting project template vs. Harvest + Basecamp
Harvest for time and invoicing costs $12/user/month ($1,440/year for 10 users). Basecamp for project management costs $15/user/month ($1,800/year). That's $3,240/year for two tools that don't share data — hours in Harvest don't connect to milestones in Basecamp.
Melororium Agency covers 10 users for $59/mo. Phase-based project management, time tracking, milestone invoicing, and client CRM all connected in one workspace. After year one the saving exceeds $2,941 vs. Harvest plus Basecamp.
