What is a payment tracking template?
A payment tracking template is a unified view of all outstanding, overdue, and recently paid invoices across every client — updated in real time as invoices are sent and payments are received. It's the accounts receivable dashboard that replaces the combination of a paid/unpaid spreadsheet, periodic email follow-ups on overdue invoices, and the mental overhead of remembering which clients owe what.
Melororium's Payment Tracking Template displays every invoice in the system with its current status: Draft / Sent / Paid / Overdue. The Overdue flag triggers automatically the day after the payment due date passes. The finance overview shows total outstanding, total overdue, and total collected this month — the three numbers that tell an agency owner where their cash flow stands.
Why unpaid invoices go unnoticed for too long
For an agency sending 20–30 invoices per month, manually tracking which invoices have been paid requires checking email replies, cross-referencing the accounting tool, and updating a spreadsheet. This process is typically done once a week on a good week and once a month on a busy one.
The consequence: invoices that are 45 days overdue without a follow-up are common in agencies that don't have a systematic payment tracking view. The client didn't pay on purpose in most cases — they're busy, they forgot, or the payment went to the wrong bank account. A systematic follow-up at 7 days overdue resolves 80% of late payments before they become 30-day overdue.
How agencies keep receivables under control
Overdue flag the day payment is late
Every invoice has a payment due date set when it's sent. The day after that date passes without payment, the invoice status changes to Overdue and the flag appears in the dashboard. The account manager doesn't need to remember to check — the flag is visible every time they open the finance view.
Sortable by amount, client, and days overdue
Filter the outstanding view by amount to see the largest invoices first — these are the ones worth a phone call rather than an email. Filter by days overdue to see which invoices have been unpaid the longest. Sort by client to see if a specific client has a pattern of late payment that warrants a change in terms.
Total outstanding visible at a glance
The finance dashboard shows: total outstanding (all sent, unpaid invoices), total overdue (past due date), total collected this month, and total invoiced this month. These four numbers give the agency owner a current cash position without opening a spreadsheet.
Payment history per client
The CRM client card shows full payment history: every invoice sent, amount, sent date, paid date, and days taken to pay. Over 12 months, this creates a reliable payment behavior profile per client. Clients who consistently pay 25+ days late get different payment terms in the next contract negotiation.
Payment tracking vs. FreshBooks
FreshBooks costs $15–$55/month and does excellent invoice management and payment tracking. For agencies that primarily need invoicing and payment tracking without project management or time tracking in the same system, FreshBooks is a reasonable choice.
For agencies that want time tracking, project management, CRM, and invoicing in one workspace — Melororium replaces FreshBooks entirely. Agency plan for 10 users is $59/mo. After year one the saving vs. FreshBooks starts at $181.
