What is a recurring invoice for retainer clients?
A recurring invoice is a billing setup where the invoice generates automatically at the start of each billing period — monthly, weekly, or quarterly — based on the retainer amount agreed with the client. You set it up once, review the auto-generated invoice at each billing cycle, make any adjustments for overages or scope changes, and send. No manual rebuilding of the same invoice every month.
Melororium's Recurring Invoice — Retainer template uses the Invoicing Pro add-on to generate a new invoice for each retainer client on their billing date. The retainer amount pre-fills from the client CRM card. Hours actually logged in the period appear as a line item if the retainer is hour-based. Overages (hours above the retainer cap) calculate automatically from the overage rate.
Why manual monthly invoicing is a hidden time tax
For an agency with 12 monthly retainer clients, manually generating invoices means 12 separate tasks each month: open the template, update the client name, update the billing period, pull the hours, calculate any overages, update the total, save as PDF, email. For an agency owner or operations manager doing this personally, it's 3–4 hours per month every month.
Over a year, that's 36–48 hours spent on administrative invoice assembly. Hours that could be spent on client work, new business, or strategy. The recurring invoice template converts those 36 hours per year into 12 15-minute reviews.
How agencies automate retainer billing without losing accuracy
Retainer terms set once per client
Each retainer client's CRM card holds the billing configuration: retainer amount, billing cycle (monthly first day, monthly last day, etc.), overage rate, and whether the retainer is hour-based or flat-fee. Set this once at contract signing. It remains in place until the retainer terms change.
Auto-generation with human review gate
The invoice generates automatically on the billing date. It doesn't automatically send — it goes to Draft status for the account manager to review. This human review gate ensures: overages are correctly calculated, any scope changes this month are reflected, and the invoice is accurate before it leaves the agency. Review takes 2 minutes for a standard retainer invoice, 5 minutes if there were overages.
Overage calculation built in
When a client exceeds their monthly hour budget, the recurring invoice template calculates the overage automatically: base retainer + (overage hours × overage rate). This appears as a separate line item. The client sees the breakdown; the account manager doesn't need to do the math.
Payment status tracking across all retainers
The invoice dashboard shows all recurring invoices: which have been sent, which are paid, which are overdue, and which are coming up in the next billing cycle. Overdue invoices are flagged automatically after the payment due date. One view replaces the spreadsheet where someone tracks payment status manually.
Recurring invoice vs. creating invoices manually each month
The alternative to recurring invoices is creating each invoice manually at the start of every billing cycle. For small agencies with 3–4 retainer clients, this is manageable. For agencies with 10+ retainer clients, it's a reliability risk as well as a time cost — at some point in the year, an invoice will be delayed or missed because the person responsible was out or overloaded.
Melororium's recurring invoice automation eliminates that risk. Agency plan for 10 users is $59/mo. The Invoicing Pro add-on for recurring invoices is $39 add-on.
