What is Smart Onboarding?

Smart onboarding automatically generates a role-specific checklist for a new hire, so each person sees only what's relevant to their own role, not a generic list.

Smart Onboarding is a structured approach to new employee onboarding that assigns different checklists to different roles, automatically, based on the job function. A Designer gets access to design tools, brand guidelines, and the revision process. A Developer gets the repository, local environment setup, and deployment workflow. Each checklist is tailored to what that role actually needs.

The alternative, one generic checklist for everyone, leads to new hires skipping irrelevant steps, missing relevant ones, and spending the first week figuring out what to do next instead of doing it.

Smart Onboarding shifts ownership: new hires track their own progress on their dashboard. Managers see completion rates without running daily check-in meetings.

Role-Based vs. Generic Onboarding

Generic onboarding gives every new hire the same checklist. This creates two problems.

First, irrelevance: a Developer who gets 'Learn the invoicing process' on day one stops reading. Steps that don't apply to the role create noise that obscures the steps that do.

Second, gaps: a generic checklist written for the 'average hire' misses role-specific requirements. The Developer who wasn't told about the code review process discovers it the hard way when their first PR gets rejected for process violations.

Role-based onboarding solves both. Each template covers only what that role needs: no irrelevant steps, no missing ones.

What an Onboarding Template Contains

Each onboarding template is a series of steps. Every step has four fields:

  • Name: the task the new hire completes ('Access Figma workspace', 'Set up local dev environment')
  • Description: what specifically to do and where to find it. The new hire should be able to complete the step from the description alone, without asking for help.
  • Due days: how many days after their start date to complete this step. Day 1 steps happen on the first day. Day 14 steps happen two weeks in.
  • Required: whether this step must be completed before the new hire is considered onboarded. Optional steps provide context without creating blockers.

What New Hires See

New hires see their assigned onboarding checklist on their main dashboard from day one. Steps are ordered by due date. Required steps have a visual indicator. Completed steps are checked off.

The due dates convert automatically from 'due day N' to actual calendar dates based on the hire's start date. 'Due day 3' becomes 'August 8' if they started August 5.

New hires work through the checklist independently. When stuck, they have everything they need in the step description: no daily check-in call required to find out what to do next.

What Managers See

The manager view shows all active onboardings in one place. For each person: - Which step they're on (step 4 of 12) - Whether they're on track (no overdue steps) or behind (overdue steps highlighted) - Completion percentage

This replaces the daily 'how's onboarding going?' message. The dashboard answers that question without a conversation. Managers intervene when someone is behind, not as a daily routine.

Smart Onboarding in Melororium

Can a new hire have more than one onboarding template?

One onboarding template per employee at a time. If someone transitions roles, a new template can be assigned; the old one is marked as complete.
