What is a retainer hours tracking template?

A retainer hours tracking template shows how many hours your team has used versus how many hours were agreed in each client's retainer contract — per client, per month, updated in real time as timers run. It replaces the end-of-month scramble where the account manager exports a Toggl report, pastes it into a spreadsheet, manually compares it to the retainer terms, and hopes the math is right before sending the invoice.

Melororium's Retainer Hours Tracking template stores each client's monthly hour budget in their CRM card. As the team logs time on client tasks, the retainer balance depletes in real time. When a client reaches 80% of their monthly hours, a notification fires. At month end, the invoice generates directly from the logged hours.

Why retainer billing goes wrong without a tracking system

Retainer billing has two failure modes that both cost money. The first is overdelivery: your team works 60 hours for a client with a 40-hour retainer because no one was watching the balance. The client pays for 40 hours and gets 60 hours of work. The margin on that client just dropped by 33%.

The second failure mode is underdelivery: your team works 30 hours on a 40-hour retainer. The client receives a full invoice, notices they got less than expected, and starts questioning the relationship. The data exists to show what was and wasn't delivered — but no one surfaced it before the invoice went out.

How agencies manage retainer accounts without month-end surprises

Monthly hour budget set per client from day one

When a retainer agreement is signed, the monthly hours go into the client's CRM card. From that moment, every logged hour depletes the balance. The account manager can see the balance at any time — not just at the end of the month.

80% alert before the conversation becomes uncomfortable

At 80% of monthly hours consumed, a notification fires to the account manager and the project owner. There are still 20% of hours remaining — enough time to have a productive scope conversation with the client if needed, not a defensive one after the budget is exhausted.

Overage rate applied automatically

Some clients have an agreed overage rate — extra hours billed at a different rate than the retainer. When the retainer balance hits zero and hours continue logging, the overage calculator tracks those hours separately. The month-end invoice line items show: base retainer (40 hours × $100) + overage (4 hours × $120). No manual math.

One click from hours to invoice

At month end, open the invoice module, select the client, and the system pulls the logged hours, applies the retainer rate, and calculates any overage. Generate the PDF. The entire invoicing process for a retainer client takes under 2 minutes.

Retainer tracking vs. Harvest + FreshBooks

Harvest costs $12/user/month — $1,440/year for 10 users. FreshBooks costs $15–$55/month — $180–$660/year. Both tools together still require manual export-import to match Harvest time data with FreshBooks invoicing. There's no native retainer balance view with real-time depletion.

Melororium Agency covers 10 users for $59/mo. Retainer hour budgets, real-time depletion tracking, automated 80% alerts, and invoice generation from the same data — no two-tool workflow. After year one the saving exceeds $1,321 vs. Harvest plus FreshBooks basic.

Yes. Each CRM client card holds the retainer hour budget. Different clients can have different monthly limits.

The report flags it in red. You decide whether to charge for overages or roll them into next month — Melororium shows you the data, you decide the action.

You can see unused hours in the report. Adding them to next month's budget is a manual update to the client's retainer setting — takes 10 seconds.

Yes. Billable hours tracker is for per-hour billing. Retainer tracking is for fixed monthly bundles — tracking used vs. sold hours.
