What is a consultant timesheet?

A consultant timesheet is a detailed billing record of every hour worked on each client engagement — organized by date, deliverable, and consultant — that forms the basis for client invoices. Unlike a generic timesheet, it's designed to withstand client scrutiny: each entry has a task description, a date, a start and end time, and the applicable hourly rate.

Melororium's Consultant Timesheet template uses task timers to build the timesheet automatically. As consultants work on tasks within a client engagement, their hours log with timestamps and task names. At month end, the work report generates a timesheet PDF: date, task description, consultant name, hours, rate, and total — ready to attach to the invoice.

Why consulting firms overbill or underbill without a proper timesheet

Consulting billing has a precision problem at both ends. Underbilling happens when consultants round down, forget to log short tasks, or omit time spent preparing deliverables because it "doesn't feel billable." Overbilling claims happen when a client disputes an invoice and the supporting timesheet is a round-number estimate — "8 hours on analysis" — that doesn't have task-level detail to substantiate it.

The professional defense against both is a timesheet that bills exactly what was worked, with enough task-level detail that the client can trace every hour to a named deliverable. Rounding down is waste. Disputable round numbers are liability. A task-by-task timesheet is neither.

How consulting teams generate accurate timesheets for billing

Timers tied to engagement deliverables

Each consulting engagement in Melororium is a project with phases (Discovery, Analysis, Recommendations, Implementation). Within each phase, deliverables are tasks. Consultants start timers when they begin a deliverable and stop when they close it. The log entry writes: task name, phase, date, hours. Nothing requires manual entry at end of month.

Multi-rate support for mixed teams

Senior consultants, associate consultants, and subcontractors often bill at different rates to the same client. Melororium supports different hourly rates per team member per client CRM card. When the timesheet generates, each row shows the individual's rate. The invoice applies the correct rate per person automatically — no manual rate lookup, no spreadsheet VLOOKUP.

Timesheet PDF formatted for client submission

The Work Report export produces a clean PDF: date column, task description column, hours column, rate column, subtotal. It's formatted to look like a professional billing document — not a raw data export. Some clients require timesheet submission with every invoice; this format satisfies that requirement.

Engagement profitability behind the scenes

While the timesheet faces the client, the profitability view shows the internal picture: revenue billed vs. team cost (hours × internal rate vs. hours × client rate). Knowing the margin per engagement — without the client seeing the internal rate — is the data that drives pricing decisions for the next contract.

Consultant timesheet vs. Harvest

Harvest costs $12/user/month — $1,440/year for a 10-person consulting team. Harvest does excellent time tracking and timesheet exports. It also connects to invoicing. But it has no project management module and no client CRM — your team still needs a project board tool alongside Harvest.

Melororium Agency covers 10 users for $59/mo. Consulting project management, task timers, timesheet export, client CRM, and invoice generation all in one workspace. After year one the saving exceeds $1,141 vs. Harvest.
